Position Overview: We’re looking for an Office Administrator who thrives in a dynamic environment and takes pride in precision. This role is vital to our sales and operations teams, ensuring that quotes are accurate, deals are properly documented, and our systems run smoothly. You’ll collaborate directly with our sales reps, operations leaders, and fulfillment team to keep customer information flowing and execution tight. Key Responsibilities:
Sales Support
Generate customer quotes using standardized pricing and product configuration templates.
Input and update sales data in our CRM (Zoho) and other internal tools.
Ensure all deal documentation is complete, accurate, and aligned with delivery/production timelines.
Track status of orders and follow up on pending items with internal teams or customers.
Administrative Operations
Maintain digital filing systems and organize internal documentation (sales, logistics, service).
Monitor inbound inquiries (email, chat, voicemail) and route to appropriate team members.
Order office supplies and support procurement needs for the team.
Assist with scheduling and calendar management for sales and leadership team.
Provide occasional support for basic bookkeeping, invoicing, or data entry in Zoho Books.
What We're Looking For:
Prior experience in an administrative, operations, or customer support role—bonus if it’s in a high-touch or product-based business (e.g., wellness, design, home improvement, or custom manufacturing).
Tech-savvy: comfortable using CRMs, spreadsheets, cloud-based tools, and learning new systems. (Zoho experience is a plus.)
Extremely detail-oriented and process-driven—you don’t let things slip through the cracks.
A positive, “get-it-done” attitude with strong communication skills.
Comfortable in a fast-paced, entrepreneurial environment where roles are evolving.
Bonus: Interest in wellness, biohacking, or customer experience design.
